Sourcing for a shop is a different exercise from buying for yourself. Consistency, timing and margin matter more than falling in love with a piece. This guide covers what to establish before you place an order.

Always request a physical sample
Photographs flatter every garment. Before committing to a bulk order, hold the actual product. Check the seam finishing, the lining, the weight and — for embellished pieces — whether decoration is stitched or glued.
A supplier who resists sending a sample is telling you something. Reputable makers expect this request and usually charge sample cost, sometimes credited against a first order.
Understand the minimum order quantity
MOQ is the smallest order a supplier will accept, and it varies enormously depending on whether pieces are machine-produced or hand-finished. Hand-beaded work usually carries a lower MOQ than mass production, simply because it is not made on a production line.
Establish clearly whether the MOQ applies per style, per colour, per size, or across the whole order. This single detail changes what you can realistically stock.
Lead times and honesty about them
Ask two questions: what is the normal lead time, and what happens when it slips? The second answer matters more. Hand-finished production genuinely varies — a supplier who admits this and communicates early is more valuable than one who promises dates they cannot hold.
Build buffer into your own planning. If you are stocking for Ramadan or wedding season, work backwards from the date you need product on the floor, not the date you need it shipped.

Margin and pricing
Your retail price has to absorb more than the wholesale cost. Account for shipping, any duties, payment processing, the cost of unsold stock, and alterations if you offer them. A margin that looks healthy on the invoice can disappear once these are included.
For hand-finished goods specifically, be careful about competing on price. The category sells on quality and distinctiveness; discounting it usually damages the positioning without winning the customer.
Questions worth asking every supplier
- Is the embellishment hand-applied or glued? Can I see the reverse of the fabric?
- What is the MOQ, and does it apply per style or across the order?
- What is the realistic lead time, and what is your process if it slips?
- Can I reorder the same style later, and will it match the first run?
- What are the payment terms, and what happens if a delivery arrives faulty?
- Do you supply other stockists nearby? Exclusivity matters in a small market.
Choosing your first order
Resist the temptation to stock the whole range. Start with a tight selection: a few strong core pieces plus one or two statement items to draw attention. You will learn more from selling a narrow selection than from spreading capital across everything.
